How to size payload properly (and why most buyers get it wrong)

Start from the weight of everything that will permanently live on the vehicle, subtract it from the payload figure on the door placard rather than the brochure, and only then ask what you can carry. A service body, tools, fuel and two people routinely consume most of a three-quarter-ton rating before any cargo is loaded, which is why so many businesses buy a truck that turns out to be too small.

The mistake almost everyone makes

A business decides it needs a truck that can carry a ton of material. It finds a three-quarter-ton pickup rated at 3,200 lbs payload, concludes there is comfortable margin, and buys it. Six months later the truck sits low at the back, the brakes are wearing quickly, and nobody can work out why.

What happened is that the 3,200 lbs was never available. The figure describes what the chassis can carry in total, and the body, the racks, the toolboxes, the tools inside them, a full fuel tank and the people in the cab all come out of it first. What remains is the working payload, and it is frequently less than half the headline.

This is not a trap set by manufacturers. The number is accurate; it is simply answering a different question from the one buyers think they are asking. The fix is arithmetic done in the right order, before the order form is signed.

Do the subtraction in order

Begin with the payload figure on the door placard of the specific vehicle, not the range in the brochure. Cab configuration, drivetrain and engine all change it, and the published maximum almost always belongs to a stripped regular-cab two-wheel-drive truck that nobody orders.

Subtract the body first, because it is the largest single deduction and it never comes off. A steel service body is heavy before anything goes in it, and a dump body or a crane body is heavier still. Your upfitter can tell you the installed weight — ask for it in writing rather than estimating.

Then subtract everything that lives on the vehicle permanently: racks, toolboxes, a compressor or generator if fitted, spare parts inventory, and the tools themselves. Businesses consistently underestimate this, because it accumulates gradually rather than arriving all at once.

Then fuel. A full tank on a heavy-duty truck is not a rounding error, particularly on diesels with large tanks. Then the people: budget around 200 lbs per occupant, and remember a crew cab exists precisely so you can carry more of them.

Whatever is left is your working payload. If that number is smaller than the material you intend to carry, you have found the problem before it cost you anything.

Towing changes where the weight lands

Payload and towing are frequently discussed as separate figures, which obscures the relationship between them. A trailer does not float behind the truck: part of its weight presses down on the hitch, and that weight lands on the rear axle exactly as if you had put it in the bed.

A conventional trailer typically puts ten to fifteen per cent of its loaded weight on the tongue. A gooseneck or fifth-wheel puts substantially more — commonly a fifth to a quarter — because the hitch sits over the axle rather than behind the bumper. On a 14,000 lb gooseneck that is potentially over 3,000 lbs arriving on your rear axle.

This is why buyers who tow goosenecks so often need a heavier truck than their trailer rating alone suggests. The trailer is within the towing figure and the pin weight is over the payload figure, and it is the second one that causes the problem.

When the answer is a bigger truck

Running a vehicle permanently at its rating is more expensive than buying the next size up, and the cost arrives quietly rather than as a single event. Brakes wear faster. Suspension components fatigue. Tyres wear unevenly across the rear axle. Resale value suffers because an experienced buyer can see how the truck was used.

The step up is rarely as large as people expect. Moving from a three-quarter-ton to a one-ton adds meaningfully to payload for a modest difference in purchase price, and both are ordinary vehicles to licence, insure and staff. Moving above one-ton into chassis-cab territory is a bigger jump in cost and complexity, so that decision deserves more care.

The honest test is whether you regularly find yourself near the rating. Occasional heavy days are what margin exists for. Routine operation at the limit means the truck is the wrong size, and no amount of careful loading fixes that.

What to do before you order

Get the installed body weight from the upfitter in writing, along with the cab-to-axle dimension their body requires. Both belong on the chassis order, and neither can be changed after the vehicle is built.

If you are replacing an existing truck, weigh it as it currently stands, loaded the way you actually run it. A weighbridge ticket costs almost nothing and tells you more about what you need than any specification sheet, because it measures your real operation rather than an assumed one.

If you are buying used, do the same thing before you commit. A truck that has been run over its rating shows it in the stance, in the rear tyre wear and in the condition of the suspension, and all three are visible to anyone who knows to look.

Where do I find the real payload figure for a specific truck?
On the placard inside the driver’s door frame. It states the payload for that exact vehicle as built, which accounts for the cab, drivetrain and engine fitted. The brochure range describes a family of configurations and its maximum usually belongs to a stripped truck nobody orders.
How much does a service body weigh?
It varies widely by size, material and how it is equipped, which is why the number to use is the one your upfitter gives you for the actual build rather than a general figure. Ask for the installed weight in writing, and ask separately about anything mounted on it such as a crane or compressor.
Does a crew cab really reduce payload that much?
The cab structure itself costs some payload, but the larger effect is what it invites you to carry. Five or six occupants at roughly 200 lbs each is over a thousand pounds of people, and that is the whole reason the cab exists. Budget for a full cab if that is how the truck will be used.
Is diesel or petrol better for payload?
Petrol, generally, because the diesel engine and its after-treatment equipment are heavier and that weight comes directly off payload. Buyers are frequently surprised by this, having assumed the more capable engine means the more capable truck. If payload is your binding constraint, the lighter engine may serve you better.
What happens if I run over the rating?
Mechanically, accelerated wear on brakes, tyres and suspension, and a truck that handles and stops differently from how it was designed to. Commercially, faster depreciation and a harder sale. There are also legal and insurance implications to operating a vehicle beyond its rating, which is worth confirming with your insurer.
How do I account for a trailer in the payload calculation?
Add the tongue or pin weight to the load on the rear axle, because that is where it goes. Roughly ten to fifteen per cent of a conventional trailer’s loaded weight, and a fifth to a quarter for a gooseneck. This is the figure that catches out buyers who planned around the towing rating alone.
